The Importance of a Fresh Flower and Plant Program in Estate Management

Fridays hold a special place in my heart when it comes to managing an estate’s weekly flower program. There's something satisfying about the culmination of a productive week, and one of the simplest yet most impactful ways to celebrate this is by bringing in fresh flowers. On Friday afternoons, placing flowers in designated areas throughout the estate is a symbolic “cherry on top” of a job well done. It’s a finishing touch that signals everything is in its place, beautifully manicured, and ready for the weekend. In many estates, weekends are reserved for the owners and their families, with staff and vendors stepping back until the bustle of the workweek resumes on Monday.

Why is this something I’m highlighting? In my consulting practice, I’ve learned that one of the first things I can assess when I walk into an estate is how well the household is being managed—and often, this is reflected in the state of the home’s flower or plant program. A well-maintained, regular flower program typically signals a well-run estate. On the flip side, if the flowers or plants are neglected, it’s often an indicator of deeper operational issues. I’ve had homeowners admit, "We (as a team and household) can’t even manage the dishes, so why would we bother with flowers?" While diving into that challenge is beyond the scope of this post, it does speak to the importance of addressing foundational operational issues first.

Now, let's focus on the brighter side of things—the fresh plant or flower program running smoothly and contributing to a well-managed estate. Establishing a successful program is more nuanced than it may seem at first glance. Here are key factors to consider when setting up a professionally managed flower and plant program on an estate:

1. Defining the Program Scope

The first step is to determine the structure of the floral program. Questions to consider:

  • Do the estate owners prefer simple, in-house arrangements created by household staff, or would they rather have fresh flowers delivered weekly by a florist?

  • Should the program include fresh floral displays only, or will it also incorporate indoor plants that require ongoing care?

  • What locations throughout the estate should have fresh flowers or plants? Guest suites? Entryways? Formal dining areas?

Clarifying these details will help establish a realistic budget, time commitments, and staffing needs for the program.

2. Establishing a Budget and Timeframe

Once the scope is defined, the next step is to determine a budget.

  • A basic flower program might involve a weekly grocery store pickup, with household staff arranging the flowers.

  • A moderate program might include a standing order with a florist for curated arrangements.

  • A high-end program may require a dedicated florist or a plant care service, ensuring year-round plant health and custom floral installations.

It’s also important to allocate staffing time for the program—whether managing vendors, arranging flowers, or handling plant maintenance.

3. Setting Up the Program Logistically

Once the budget and scope are finalized, the next step is creating a structured plan:

  • Document preferred flowers, vases, and placements in the estate’s household procedural manual.

  • Outline specific floral preferences for each area of the estate, ensuring consistency in presentation.

  • Assign a designated staff member to oversee the program—whether it’s calling vendors for weekly maintenance or replacing flowers as needed.

By implementing a clear system, staff can seamlessly maintain the program without guesswork.

4. Simple vs. Complex Floral Programs

Simple Maintenance, Big Impact

A flower and plant program doesn’t have to be time-consuming or costly to make a difference. Even small efforts—like refreshing the water in each vase—help maintain a fresh, polished look while preventing water spills on delicate surfaces.

A budget-friendly floral program might involve:

  • Allocating a modest weekly budget for fresh flowers (even $15 can go a long way).

  • Using seasonal flowers to reduce costs while still maintaining an elegant aesthetic.

  • Keeping arrangements minimal but thoughtfully placed to maximize impact.

Even the smallest floral touches convey that the household is well cared for, down to the finest details.

The Full-Scale Estate Florist Program

On the other end of the spectrum, I once worked in a formal estate with a full-time, in-house florist—and she was a true artist in every sense of the word.

Her responsibilities included:

  • Curating weekly floral installations for designated areas.

  • Personalized guest suite arrangements for visiting guests.

  • Elaborate dinner party floral designs, aligned with the estate’s heavy entertaining schedule.

  • Seasonal and holiday-themed arrangements, ensuring the estate reflected the festive spirit.

  • Bespoke floral gifts for occasions like weddings, funerals, and anniversaries, often hand-delivered on behalf of the family.

To optimize costs, the family established a separate LLC for wholesale purchasing—granting access to exclusive floral markets where the florist could source rare and exotic flowers from Holland and beyond.

I worked closely with the family to establish the full program, including:

  • Vendor accounts for flower sourcing

  • Dedicated floral workspaces

  • Professional refrigeration for flower storage

  • Defining the job description, scope of work, hiring, onboarding, & training

This level of investment elevated the estate’s ambiance and gifting practices, making flowers an integral part of the home’s identity.

5. The Connection Between Staff Performance and Luxury Details

In estate management, small luxuries—like a fresh flower program—make a big difference in how a home feels and how the estate is perceived.

  • When staff is well-trained and operating efficiently, these details thrive.

  • When operations are struggling, even simple luxuries—like flowers—are often overlooked.

This reinforces the importance of maintaining strong operational systems, ensuring that every element, big or small, contributes to a polished and seamless estate experience.
